This notice explains what personal information we collect about pupils, why we collect it, and what we do with it.
Who we are
Boldmere Infant and Nursery School is the data controller for the personal information we hold about pupils and their families. Our Data Protection Officer can be contacted at enquiry@boldmere.bham.sch.uk (please mark it for the attention of the DPO).
The categories of pupil information we collect
We collect and hold the following types of information about pupils:
- Personal details (name, date of birth, address, contact details)
- Characteristics, such as ethnicity, language, nationality, and free school meal eligibility
- Attendance information
- Assessment and academic progress records
- Behaviour and exclusions information
- Special educational needs and disability information
- Medical and dietary information necessary for their care
- Photographs and images, for identification, learning records, and (with consent) promotional use
Why we collect this information
We use pupil data to:
- Support pupil learning
- Monitor and report on progress
- Provide appropriate pastoral care and safeguarding
- Assess the quality of our services
- Comply with the law regarding data sharing, including statutory returns
The legal basis for using this data
We collect and use pupil information under the Education Act 1996 and 2002, and related regulations, as part of our public task in providing education. Some information (such as optional photo consent) is processed with your consent, which can be withdrawn at any time.
Who we share pupil information with
We routinely share information with:
- The Department for Education (DfE), as part of the school census, under the Education (Information About Individual Pupils) (England) Regulations 2013
- Birmingham City Council, our local authority
- The next school, if your child transfers, including their common transfer file and educational record — transferred within 15 days of confirmation of the new registration
- Health and welfare services, where necessary for safeguarding
- Approved third-party systems supporting teaching, attendance, or school meals (a full list is available from the school office on request)
We do not share information about pupils with anyone else without consent, unless the law and our policies allow us to do so.
How long we keep this data
We retain pupil records for the period set out in the Information and Records Management Society (IRMS) Toolkit for Schools, after which data is securely destroyed.
Your rights
You have the right to:
- Ask to see the information we hold about your child
- Ask us to correct inaccurate information
- Ask us to erase information in certain circumstances
- Object to certain types of processing
- Complain to the Information Commissioner’s Office (ico.org.uk) if you believe we have not handled your data correctly
